Beat Velocity Studio Privacy Policy
This Privacy Policy explains how Beat Velocity Studio collects, uses, stores, and protects personal information when you use our website, software, licensing, purchases, support, and related services.
1. Overview
This Privacy Policy explains how Beat Velocity Studio collects, uses, stores, and protects personal information when you visit our website, download Beat Velocity Studio, request private beta access, apply for creative roles, purchase a license, activate the software, contact us for support, or otherwise use our services.
Beat Velocity Studio is software for controlling visual content for live shows, events, venues, streams, performances, and related uses. The app may allow users to play videos, trigger loops, display branding, use abstract visuals, apply visual effects, and run music-reactive visuals.
We try to collect only the information needed to provide the website, deliver the software, manage licenses, prevent abuse, support users, improve the product, and meet legal obligations.
2. Information we collect
We may collect the following categories of information.
2.1 Account, beta, and purchase information
When you request private beta access, apply for creative roles, purchase a license, create an account, subscribe to a plan, or contact us about Beat Velocity Studio, we may collect:
- Name
- Email address
- Company or organization name, if provided
- Portfolio links, reels, work samples, tools, availability, location or timezone, and role interest if you submit a career application
- Billing contact details, if required
- License type, subscription plan, purchase date, renewal date, and license status
- Communications you send to us
- Support requests and related troubleshooting information
Payment card details are normally processed by a third-party payment processor. We do not intend to store full credit card numbers on our own systems.
2.2 Software activation and license validation information
To activate, validate, renew, enforce, or troubleshoot a Beat Velocity Studio license, the software or website may collect or transmit:
- Email address or account identifier
- License key, license token, activation code, or subscription status
- Machine identifier, device fingerprint, hardware identifier, or similar device-bound identifier
- Operating system version
- Beat Velocity Studio app version
- Activation date, validation date, renewal date, expiry date, and validation history
- IP address used for activation or validation
- Approximate region inferred from IP address
- Error codes, activation failures, deactivation events, and license status changes
This information is used to confirm that the software is licensed, reduce fraud and license abuse, support offline grace periods where offered, and help users recover or manage legitimate activations.
2.3 Website and analytics information
When you visit our website, we may collect technical and usage information such as IP address, browser type and version, device type, operating system, referring pages, pages viewed, date and time of visit, approximate location based on IP address, and interaction data such as clicks, downloads, form submissions, and navigation paths.
We may use cookies, pixels, analytics tools, log files, or similar technologies to operate the website, measure performance, understand visitor behaviour, improve the website, and support marketing or conversion tracking.
2.4 Support and diagnostic information
If you request support or choose to send diagnostic information, we may collect your issue description, app version, operating system information, license or activation status, error messages and logs, crash reports if enabled, screenshots or files you choose to provide, and communications with our support team.
Do not send sensitive personal information, confidential business information, private media files, or third-party personal information unless it is necessary for support and you are authorized to share it.
2.5 User media and visual content
Beat Velocity Studio may allow you to import, load, display, or play media such as videos, loops, images, logos, branding assets, effects, or other visual content.
Unless a feature clearly states otherwise, your media files are intended to remain on your own device or storage location. We do not claim ownership of your media or show content. We do not intentionally collect or upload your local media files simply because you use them inside the app.
If you voluntarily send us files for support, feedback, testing, bug reports, or troubleshooting, we may access and use those files only for the purpose for which you provided them.
2.6 Companion mobile app (Beat Velocity Console)
Beat Velocity Studio includes an optional Android companion app that connects to the desktop software over your local network to provide remote control. If you enable crash reporting in the companion app (on by default, with a toggle available in Settings), a crash report may include:
- Device manufacturer, device model, and Android OS version
- Companion app version and exception/stack trace details
- The license identifier, device identifier, and account email of the Beat Velocity Studio desktop installation the companion app was paired with at the time of the crash
The desktop identifiers are included so we can tie a companion-app issue to the specific license or session it occurred under. This information is used only to diagnose and fix companion-app issues and is not used for marketing.
3. How we use information
We may use information to provide, operate, maintain, and improve Beat Velocity Studio; deliver downloads, trials, updates, and license files; activate, validate, renew, suspend, or terminate licenses; provide offline grace periods where applicable; prevent fraud, piracy, abuse, unauthorized access, or license circumvention; process purchases, subscriptions, renewals, refunds, and account changes; respond to support requests; send service notices; improve website performance and product usability; analyze aggregated usage and business metrics; comply with legal obligations; and enforce our Terms of Service and software license terms.

You can usually control cookies through your browser settings. Blocking cookies may affect some website features, downloads, account functions, or purchase flows. Where required by law, we will provide appropriate notice or consent options for non-essential cookies and similar tracking technologies.
5. Sharing of information
We may share information with trusted service providers who help us operate the business, including providers for website hosting, software downloads, license management, payment processing, email delivery, customer support, analytics, error monitoring, security, cloud infrastructure, accounting, tax, or legal services.
These providers may process information on our behalf and are expected to use it only for the services they provide to us.
We may also disclose information if required to comply with law, legal process, court orders, or regulatory requests; protect our rights, users, systems, software, or business; investigate fraud, piracy, abuse, security incidents, or license circumvention; enforce our agreements; or complete a business transaction such as a merger, acquisition, financing, sale of assets, restructuring, or transfer of the business.
6. International processing
We may use service providers located in Canada, the United States, or other countries. As a result, personal information may be processed or stored outside your province, state, or country of residence. When information is processed in another jurisdiction, it may be accessible to courts, law enforcement, regulators, or government authorities in that jurisdiction according to local law.
7. Retention
We keep personal information only as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.
Typical retention periods may include license and transaction records while the license, account, subscription, warranty, legal, accounting, tax, or dispute period remains relevant; support records as needed to provide support, improve the product, and maintain business records; website logs and analytics for a limited period appropriate to security, analytics, and operational needs; and diagnostic data as needed to investigate bugs, crashes, performance issues, fraud, or abuse.
When information is no longer needed, we will delete, anonymize, or securely dispose of it where reasonably practical.
8. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, disclosure, alteration, loss, or destruction.
No website, app, network, storage system, or transmission method is perfectly secure. You are responsible for protecting your own devices, accounts, passwords, license keys, project files, and media libraries.

Depending on where you live, you may have rights to request access to personal information we hold about you, request correction of inaccurate information, request deletion of certain information, withdraw consent where processing is based on consent, object to or restrict certain uses, request information about how personal information has been used or disclosed, or file a complaint with a privacy regulator.

Some information may need to be retained for legal, security, fraud prevention, accounting, licensing, dispute resolution, or contract enforcement purposes.

Beat Velocity Studio is not intended for children. We do not knowingly collect personal information from children under the age required by applicable law. If you believe a child has provided us personal information, contact us so we can take appropriate action.
11. Marketing communications
If you subscribe to updates, request private beta access, purchase a license, or otherwise provide your email address, we may send you product updates, onboarding emails, renewal reminders, offers, or related communications.
You may unsubscribe from marketing emails using the unsubscribe link in those messages. We may still send important non-marketing messages about your license, account, purchase, security, or software operation.

Your continued use of the website, software, or services after an updated Privacy Policy is posted means the updated policy applies to your use going forward.
